Use and Lending

Registration

To borrow items, to check your borrower's account via the online-catalogue and for a number of other services you will need a free library card. 

Further information

For registration at the loan desk you will need

  • application form (pdf)
  • students of the University of Erfurt: identity card or passport and student identity card
  • staff of the University of Erfurt: identity card or passport
  • all other persons: identity card or passport and registration permit (Meldebestätigung) resp. residence permit

In case of change of address please notify our staff at the loan desk as soon as possible. Also contact the library immediately if your library card is lost or stolen, so that your account can be barred from further checkouts to protect both yourself and the library from misuse.

Validity of library card (Kopie 1)

  • students of Erfurt University: 13 months
  • users who are not members of Erfurt University: 2 years

After that period no borrowing of media, renewals, reservations, etc. is possible. To have your library card validated again please refer to the issue desk and bring your passport or identity card. You can check the validity of your card on your borrower's account.

Working on Site

All literature in the open access area is systematically arranged and not available for loan.

In the reading rooms you will find:

  • PC-workstations with LAN and WLAN
  • coin and card copying machines
  • Scanner
  • Microform Readers

Seminar and conference rooms (conference room with 30 seats and the representative mirror hall with 120 seats) can be used by prior arrangement for seminars, workshops and conferences.
In the entrance area you will find wardrobe lockers.

Orders and Lending

Since everything cannot be ordered via the online-catalogue, a part of the historical collections must be researched via  handwritten and printed catalogues. Some of these are available on microfiche. To order from these catalogues you fill out a loan request form and hand it in at the counter.

All ordered stocks will be delivered to the issue desk or to the Special Reading Room every hour within the opening times. Stocks ordered after 16:30 will be available on the next opening day from 10:00.

Lending Periods:

  • Books published after 1850: 28 days
  • Media items from the UB Erfurt: 7 or 28 days (yellow sticker)

The media items are kept available for 7 days for collection.

Non lendable items only meant to be used in the reading room:

  •   Books from the freely available stocks 
  •   Books and journals published after 1851 
  •   Journals and newspapers

The handling of manuscripts and old prints

Manuscripts, collections, rare books and other valuable items are, for reasons of conservation, subject to special conditions of use. They are made available in the special reading room. Particularly valuable or vulnerable objects are usually only allowed for use in the form of microfilm or other reproductions. 

Please sign up at least one day in advance of your visit, stating your wishes. The use of manuscripts is only possible by prior arrangement, stating the scientific purpose of use. Undergraduate and graduate students need a written reference from the university lecturer.

Renewals

The lending period can be renewed twice, if 
•    the work has not been reserved
•    the user account is not blocked.
If you need items for a longer time, please submit them to the issue desk first for further borrowing.

E-mail reminder

Students of the University get an automated e-mail-reminder 2 days before the borrowed items are due for return.
External users may use this free service if they leave a valid e-mail-address with the library. Please note that you are still responsible for returning items on time, even if e-mails do not arrive.

Reservations

Items on loan may be reserved on the  online-catalogue. To place a reservation you need your user number and password. It is possible to cancel a reservation via the borrower's account. As soon as the reserved item is ready for collection, it will appear in your account under "loans".
Students and staff of Erfurt University are notified by e-mail. External users leaving an e-mail address with the library are also notified free of charge. In all other cases reservation fees are charged (postage).

  • return by post is possible (address); the date of arrival in the library is considered as date of return 

Please check your lending periods regularly and  renew borrowed items on time.

Reminder

When exceeding the lending period, overdue fees will be charged

  •  1st overdue notice: € 1,50 per item
  •  2nd overdue notice: additional € 2,50 per item
  •  3rd overdue notice: additional € 4,00 per item

Before the second or third overdue notice is sent, there is a period of 10 days, within which you can return the overdue items or apply for renewal at the issue desk.
Overdue notices are sent to students and University staff by e-mail only.

To pay your fees (cash only) please refer to the issue desk during the service times.

Loss of media or library-card

Please contact the issue desk immediately if you have lost a borrowed book, your library card or thoska.

De-registration

Before you can de-register, all borrowed items and the library card must have been returned and all outstanding debts must have been paid.
